Welcome to OrganizeEmail. These Terms of Service ("Terms") govern your access to and use of the OrganizeEmail application, websites, and related services (collectively, the "Service"). By using the Service, you agree to be bound by these Terms and our Privacy Policy.

1. Eligibility

You must be at least the age of legal majority in your jurisdiction (or have valid parental consent) to use the Service. The Service is not intended for children under 13.

2. Description of Service

OrganizeEmail is an AI-powered email organization application built on the Gmail API. Core features include smart categorization, email analysis, summaries, mailbox organization, and productivity assistance. Where a feature requires changes to your mailbox, those changes are made only to deliver the functionality you have enabled or requested.

OrganizeEmail connects to Gmail using the https://www.googleapis.com/auth/gmail.modify permission. Depending on the access you grant and the features you use, the Service may send, modify, move, label, or delete (move to Trash) messages in your mailbox. These actions are performed only to deliver functionality you have enabled or requested.

Message bodies and attachments are processed only as needed to provide a feature, and we aim not to retain original email content beyond what a feature requires. Information extracted from emails (such as expenses, bills, and categories) may be retained to provide the features you use. Our handling of this data is described in the Privacy Policy.

2.1 Beta / Experimental Features

From time to time we may offer features marked as Beta, or Preview. Such features are provided “as is”, may change or be discontinued at any time, and are not included in any SLA.
Your feedback helps us improve them.

3. Access & Security

  • OrganizeEmail does not create a separate account. You sign in with your existing Google Account using OAuth 2.0.
  • OrganizeEmail never sees or stores your Google password.
  • You are responsible for activity carried out through your Google Account while it is connected to the Service.
  • You may revoke access at any time from your Google Account security settings. Uninstalling the app deletes the data it holds for you.

4. Acceptable Use Policy

You agree not to:

  • Send unsolicited or commercial spam, phishing content or malware using the Service.
  • Abuse Google’s or OrganizeEmail's rate limits, attempt to scrape, reverse‑engineer or probe our infrastructure.
  • Use the Service in violation of applicable laws, export regulations, or privacy statutes.
  • Upload or distribute content that is illegal, defamatory, or infringes the rights of others.
Violation may result in suspension or termination without notice.

5. Privacy & Data Protection

Your use of the Service is governed by our Privacy Policy. We do not sell or rent user data, and we do not use your email content to train general-purpose AI models. We aim to minimise retention of original email content, as described in the Privacy Policy.

If you explicitly consent, we may store your email address for the limited purpose of enabling service-related real-time notifications.

6. Termination

We may suspend or terminate access if these Terms are violated, the Service is discontinued, or as required by law.

7. Disclaimer of Warranties

The Service is provided “as is” without warranties of any kind. We do not guarantee uninterrupted or error-free operation.

Summaries, categories, expense figures, due dates, and other AI-generated results may be incomplete or incorrect. They are provided as an assistance tool, not as a guaranteed source of truth, and you remain responsible for verifying information before relying on it for financial, legal, or other consequential decisions.

8. Limitation of Liability

To the maximum extent permitted by law, OrganizeEmail shall not be liable for indirect, incidental, or consequential damages.

9. Governing Law

These Terms are governed by the laws of India, without regard to conflict-of-law principles.

10. Promotional Offers, Credits and Promo Codes

OrganizeEmail may, from time to time, offer promotional codes, free trials, discounts, credits, or other promotional benefits ("Promotions").

Unless otherwise stated:

  • Promotions are limited-time offers and may be modified, suspended, or discontinued at any time.
  • Promotional codes may be limited by quantity, geography, eligibility requirements, or other restrictions.
  • Promotions are limited to one redemption per user unless explicitly stated otherwise.
  • Promotional benefits have no cash value, are non-transferable, and may not be resold.
  • OrganizeEmail reserves the right to invalidate promotional claims obtained through fraud, abuse, automation, duplicate sign-ups, or violations of these Terms.
  • Promotional access may not be combined with other offers unless explicitly permitted.
  • At the end of a promotional period, access to premium features may expire automatically unless an active paid subscription is maintained.

Specific promotion terms may be presented at the time of the offer and shall form part of these Terms.

OrganizeEmail (“OrganizeEmail,” “we,” “our,” or “us”), operated by Sayne Design, respects your privacy and is committed to protecting the information you entrust to us.

This Privacy Policy explains how OrganizeEmail collects, accesses, processes, uses, stores, protects, and deletes information when you use our website, applications, APIs, integrations, and related services (collectively, the “Service”).

OrganizeEmail is designed to help users understand, organize, search, summarize, categorize, and derive useful information from their email. Because providing these features may require processing information contained in emails, this Privacy Policy explains that processing in detail.

By using OrganizeEmail, you acknowledge that you have read and understood this Privacy Policy.

2. Information We Collect

We collect and process information necessary to provide, secure, maintain, and improve OrganizeEmail. The categories of information may include the following.

2.1 Account and Authentication Information

We do not store your account or profile information. The only account detail OrganizeEmail stores is your email address, and only when you explicitly allow it — for example, when you enable notifications.

Where authentication is provided through Google, certain account information may be provided to OrganizeEmail as part of the Google authentication process. This information is used only to complete authentication and is not retained. We do not request your Google password.

3. Email and Gmail Data

OrganizeEmail uses Google OAuth 2.0 to connect to Gmail, rather than requesting or storing your Gmail password. OAuth allows Google to issue OrganizeEmail an authorization credential tied to the permissions you approved, which you can revoke at any time from your Google Account.

The Gmail permission requested by OrganizeEmail is:

https://www.googleapis.com/auth/gmail.modify

This permission allows OrganizeEmail to read, organize, and modify messages in your mailbox. Based on the access you grant, OrganizeEmail may perform actions such as:

  • Send emails
  • Delete emails (move messages to Trash)
  • Modify emails
  • Move emails
  • Mark emails as read or unread
  • Add or remove labels
  • Other Gmail actions supported by this permission

These actions are performed for functionality purposes only — to provide the features you have enabled or requested. OrganizeEmail uses the access granted by you only to provide the functionality described in the Service, and does not take mailbox actions for any unrelated purpose.

This permission does not allow OrganizeEmail to permanently delete messages that bypass Trash, and it does not allow OrganizeEmail to change your Gmail account settings.

Google requires applications using Google user data to accurately disclose how that data is accessed, used, stored, and shared. OrganizeEmail’s use of Google data is intended to remain limited to the functionality disclosed in this Privacy Policy.

4. What Information We May Process From Your Emails

Depending on the features you use, OrganizeEmail may process information contained in emails, including:

Email metadata

  • Sender
  • Recipient
  • CC/BCC information where available
  • Subject
  • Date and time
  • Message identifiers
  • Thread identifiers
  • Labels and categories
  • Email provider information

Email content

Certain OrganizeEmail features require temporary processing of email content.

For example, email content may be processed to:

  • Generate summaries
  • Categorize emails
  • Identify important or urgent information
  • Extract dates, amounts, merchants, invoices, subscriptions, or other structured information
  • Identify expenses or financial-related information
  • Organize emails into useful views
  • Answer user-requested questions about emails
  • Provide AI-powered productivity features
  • Improve the presentation and organization of information within OrganizeEmail

OrganizeEmail does not treat temporary processing of email content as permission to permanently store your complete mailbox.

Where a feature does not require persistent storage of the original email content, we aim to process the information temporarily and retain only the information necessary to provide the requested functionality.

5. Email Bodies and Attachments

OrganizeEmail may access email bodies and attachments when required for a feature that you have enabled or requested.

For example, an email body may need to be processed to determine:

  • What an email is about
  • Whether an email is important
  • Whether an email contains an expense
  • The amount of an expense
  • A bill or payment date
  • A merchant or service provider
  • Card-related information
  • Subscription information
  • Other information needed to provide an OrganizeEmail feature

Where possible, processing is performed without permanently storing the original email content.

OrganizeEmail changes messages or attachments in your Gmail account only where a feature you have enabled or requested requires it. We do not alter your mailbox for unrelated purposes.

6. AI-Powered Processing

OrganizeEmail uses artificial intelligence and machine-learning technologies to provide certain features. These may include:

  • Email summarization
  • Classification and categorization
  • Priority detection
  • Information extraction
  • Expense and transaction extraction
  • Card and bill information extraction
  • Search and retrieval assistance
  • Natural-language interaction
  • Personalized organization and productivity features
  • Other AI-assisted functionality introduced in the future

6.1 How AI Processing Works

When an AI-powered feature requires information from an email, the minimum information reasonably necessary to perform that operation may be processed by the relevant AI system.

Depending on the feature, this may include:

  • Email text
  • Subject
  • Sender information
  • Relevant metadata
  • Extracted structured information
  • User-provided instructions or queries

AI processing may occur automatically when necessary to provide a feature that you have enabled, or when you explicitly request an AI-powered operation.

7. AI Training

OrganizeEmail does not use your personal data, email content, or private email information to train its own general-purpose AI models.

OrganizeEmail also does not sell user email data for AI training.

Where OrganizeEmail uses third-party AI infrastructure in the future, we will require such processing to be consistent with our contractual and privacy requirements and will update this Privacy Policy where necessary.

Your email content is not intended to become part of a publicly available AI training dataset.

8. AI-Generated Results

AI-generated information may contain errors, omissions, or incorrect interpretations.

For example, an AI-generated:

  • Summary may omit an important detail.
  • Expense extraction may contain an incorrect amount.
  • Category may be incorrect.
  • Priority assessment may not reflect your actual preference.
  • Card or bill information may be incomplete or inaccurate.

AI-generated information should therefore be treated as an assistance tool and not as a guaranteed source of truth.

You remain responsible for verifying important information before relying on it for financial, legal, business, employment, medical, or other consequential decisions.

OrganizeEmail does not provide professional financial, legal, medical, or investment advice.

9. AI Transparency

Some OrganizeEmail features may involve direct interaction with an AI system.

Where applicable, OrganizeEmail will make reasonable efforts to clearly indicate when you are interacting directly with an AI-powered feature.

OrganizeEmail does not intentionally present AI-generated responses as human-created communications.

This approach is consistent with the direction of modern AI transparency requirements, including the European Union AI Act transparency framework, under which certain AI systems that directly interact with individuals are required to disclose that interaction. These transparency requirements began applying on August 2, 2026.

10. Information Extracted From Emails

OrganizeEmail may convert information found in emails into structured data.

For example, an email may contain:

“Your credit card bill of ₹18,450 is due on September 5.”

OrganizeEmail may extract and store structured information such as:

  • Amount: ₹18,450
  • Due date: September 5
  • Type: Credit card bill

Similarly, an invoice may be converted into structured information such as:

  • Merchant
  • Amount
  • Currency
  • Invoice date
  • Due date
  • Expense category

This structured information is stored on your device and may be kept longer than the original email content, so that features such as expense history, categories, and search continue to work.

11. Financial and Expense Information

OrganizeEmail may identify financial information contained in emails, including:

  • Purchase amounts
  • Bills
  • Invoices
  • Payment dates
  • Due dates
  • Merchants
  • Subscriptions
  • Credit card information
  • Card billing dates
  • Card bill amounts
  • Transaction-related information

This information is processed solely to provide OrganizeEmail functionality, such as expense organization, financial summaries, reminders, and related productivity features.

OrganizeEmail does not initiate payments, transfer money, or access bank accounts. The Gmail permission we request does not provide access to banking systems or payment instruments.

OrganizeEmail does not intentionally collect complete payment card numbers unless such information is contained in an email that you have authorized OrganizeEmail to access.

Where sensitive financial information is not necessary for a feature, OrganizeEmail aims to minimize its collection and retention.

12. User-Provided Information

You may voluntarily provide information when you:

  • Contact support
  • Submit feedback
  • Report a problem
  • Request assistance
  • Configure preferences
  • Enable notifications
  • Interact with AI-powered features
  • Provide information through forms or other Service interfaces

We use this information only as necessary to respond to you and operate the Service.

13. Notifications

If you explicitly enable notifications, OrganizeEmail may use your contact information to send service-related notifications. These may include:

  • Important email alerts
  • Expense-related notifications
  • Bill or due-date reminders
  • Account notifications
  • Security notifications
  • Service updates

You may disable optional notifications through the available settings or by withdrawing the relevant consent where applicable.

We do not use your email address for unrelated marketing purposes merely because you connected your Gmail account.

OrganizeEmail may use cookies or similar technologies for:

  • User preferences
  • Essential functionality

We do not intentionally use advertising cookies or cross-site tracking technologies to build advertising profiles of OrganizeEmail users.

Where required by law, we will request consent before using non-essential cookies or similar technologies.

Where we rely on consent, you may withdraw that consent at any time. Withdrawal does not affect processing that occurred before withdrawal.

17. Data Minimization

OrganizeEmail follows a data-minimization approach.

We aim to:

  • Request only permissions necessary for the Service
  • Process only information necessary for a particular feature
  • Avoid unnecessary storage of original email content
  • Retain information only for as long as reasonably necessary
  • Avoid collecting information that is unrelated to the Service

Our Gmail integration uses the gmail.modify permission because organizing your mailbox — applying labels, moving, and cleaning up messages — requires it. We do not request broader permissions than the features we provide need.

Google similarly requires developers to request only the scopes necessary for the functionality provided.

18. Data Storage and Retention

OrganizeEmail uses a mixed model: AI processing and information extraction run on our servers, while the results are stored on your device. Different categories of information therefore have different retention periods.

Email content
Email content and attachments are sent to our servers only when a feature requires processing, are held only for as long as that operation takes, and are not stored on our servers afterwards.

Structured information
Information extracted from your emails is stored on your device rather than on our servers, and is removed when you uninstall the app. It is kept for as long as needed to provide features such as:

  • Expense history
  • Categorization
  • Search
  • Summaries
  • Notifications
  • User preferences

Email address
Where you have allowed us to store your email address, it is kept only while the feature you enabled it for remains in use, and is deleted when you disable that feature or uninstall the app.

OAuth credentials
OAuth tokens are encrypted, are used only to maintain your Gmail connection, and are revoked when you disconnect OrganizeEmail or uninstall the app.

Logs
Security, diagnostic, and application logs may be retained for a limited period necessary for security, troubleshooting, auditing, and operational purposes.

Retention periods may vary depending on the type of data, security requirements, legal obligations, and operational needs.

19. Deleting Your Data

OrganizeEmail does not create an account for you. You sign in with your existing Google account, and there is no separate OrganizeEmail account to register or close.

Because of this:

  • When you uninstall the app, the data held by the app for you is deleted automatically.
  • Deleting the app does not change anything in your Gmail mailbox — your messages remain with Google.
  • You may also revoke OrganizeEmail’s access from your Google Account at any time, as described below.

If you would like us to confirm deletion or remove anything still held on our side, contact support@organizeemail.in. Limited information may be retained only where required by law, and it will not be used for any unrelated purpose.

20. Disconnecting Gmail

You may revoke OrganizeEmail’s access to your Google Account at any time through your Google Account security settings.

You may also disconnect your email account from OrganizeEmail where that functionality is available.

Revoking access prevents OrganizeEmail from obtaining additional information from your Gmail account.

Information that OrganizeEmail has already legitimately processed may continue to be retained for the period described in this Privacy Policy unless you request deletion or another legal basis requires retention.

21. Data Sharing

We do not sell your personal information.

We may disclose information only when reasonably necessary for the following purposes:

Service Providers
We may use carefully selected service providers to help operate infrastructure, security, analytics, communications, customer support, AI processing, or other technical components of OrganizeEmail. Such providers may process information only as necessary to provide services to OrganizeEmail and subject to appropriate contractual or technical safeguards.

Legal Requirements
We may disclose information where required by:

Security and Protection
We may disclose information where reasonably necessary to:

22. Third-Party Service Providers and AI Providers

OrganizeEmail may rely on third-party infrastructure providers to operate certain parts of the Service.

Depending on the services currently enabled, these may include providers for:

  • Cloud infrastructure
  • Database hosting
  • Authentication
  • Security
  • Email delivery
  • AI/ML processing
  • Notifications

These providers support processing, delivery, and security. The information extracted from your emails is stored on your device, not in third-party databases.

We do not permit third-party providers to use OrganizeEmail user data for unrelated purposes where such restrictions are required by our agreements or applicable law.

If OrganizeEmail begins using a material new category of third-party processor that affects how personal information is processed, we may update this Privacy Policy and, where required, provide additional notice.

A current list of material subprocessors may be made available through the OrganizeEmail website where applicable.

23. International Data Transfers

OrganizeEmail may process information in India and, depending on the infrastructure or service providers used, other countries.

When personal information is transferred across national borders, we will use appropriate technical, contractual, and organizational safeguards where required by applicable law.

Users located in jurisdictions with specific international-transfer requirements may have additional rights concerning such transfers.

24. Data Security

We use reasonable technical and organizational measures designed to protect information against:

25. Google User Data

OrganizeEmail’s access to Google user data is subject to Google’s applicable API policies and the permissions granted by the user.

  • We use Google user data only to provide the functionality described in this Privacy Policy.
  • We do not sell Google user data.
  • We do not use Google user data for advertising purposes.
  • We do not use Google user data to develop or train generalized AI or machine-learning models.

Google API policies require applications to limit their use of Google data to the functionality represented to users and to use the least-privileged scopes necessary for the requested functionality.

26. AI and Third-Party Model Providers

When an OrganizeEmail feature requires processing through an external AI or machine-learning provider, the information sent to that provider will be limited to what is reasonably necessary for that feature.

OrganizeEmail will not intentionally send unrelated mailbox data merely because a particular feature requires processing of one email.

Where technically and contractually available, OrganizeEmail will use configurations designed to prevent submitted user information from being used to train general-purpose models.

We may also use self-hosted, private, or other controlled AI infrastructure for certain features.

27. Human Access to Email Data

OrganizeEmail is designed to minimize human access to user email content.

Our personnel should not access the content of user emails except where reasonably necessary for:

  • Providing customer support requested by the user
  • Investigating security incidents
  • Diagnosing technical failures
  • Meeting legal obligations
  • Maintaining or protecting the Service

Where access is necessary, we aim to apply appropriate access controls and limit access to the information reasonably required for the task.

28. Automated Processing and Decision-Making

The automated processing described above is intended to assist with organization and productivity only.

OrganizeEmail does not intend these systems to make legally binding decisions about users or decisions producing similarly significant effects.

Where applicable law provides rights regarding automated decision-making or profiling, users may exercise those rights as described below.

29. Your Privacy Rights

Depending on your location and applicable law, you may have rights including:

  • Right to access personal information
  • Right to know how information is processed
  • Right to correct inaccurate information
  • Right to request deletion
  • Right to request data portability or export
  • Right to restrict certain processing

30. Children’s Privacy

OrganizeEmail is not intended for children under the age of 13.

We do not knowingly collect personal information from children under 13.

If we become aware that a child under 13 has provided personal information without appropriate authorization, we will take reasonable steps to delete that information.

Where local law establishes a higher minimum age, the applicable local requirement will apply.

31. No Sale, Advertising, or Tracking

OrganizeEmail does not sell, rent, or trade personal information.

We do not sell email content, Gmail data, financial information, or user profiles to advertisers or data brokers, we do not use the contents of your emails to serve targeted advertisements, and we do not use your email information to build advertising profiles.

If advertising or tracking technologies are introduced in the future, we will update this Privacy Policy and provide any legally required disclosures or consent mechanisms.

32. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

Changes may be made because of:

  • New features
  • Changes to AI functionality
  • Changes in our infrastructure
  • Changes in data-processing practices
  • Changes in third-party providers
  • Changes in applicable law
  • Security or operational improvements

When we make material changes, we may provide additional notice through the Service, website, email, or another appropriate method.

The “Last Updated” date at the beginning of this Privacy Policy indicates when the policy was most recently changed.

Continued use of OrganizeEmail after the effective date of an updated policy constitutes acceptance of the updated policy to the extent permitted by applicable law.
